Square Appointments is the booking piece of Square — a full business platform that also sells card readers, registers, inventory, staff scheduling, invoicing, and banking. Its free tier is real, and it's aimed exactly at solo workers: “for solo professionals taking payments and managing schedules”, with an online booking site, appointment reminders, and unlimited staff calendars at $0/month.
Whenbird is a narrower tool on purpose: booking-first, for solo professionals who sell their time online, at one flat price with payments settling straight to your own Stripe account. Here's how the two compare, claim by claim.
Pricing
Square Appointments has Free, Plus, Premium, and Square Pro. Free is $0/month. Plus is $49/month per location and Premium is $149/month per location — in Square's words, “the monthly fee applies to each location you run.” Square Pro is custom pricing, aimed at businesses processing over $250,000 a year.
Whenbird has two plans: Free — a shareable booking page, up to 2 active services, automatic email reminders, forever — and Pro at $19/month flat with unlimited services, card payments at booking, and Whenbird branding removed. No per-location fee, no per-booking fee, no per-staff fee.
The honest catch: Square's subscription is only part of its cost, because payments run through Square's processing — 3.3% + 30¢ per online booking on Free (2.9% + 30¢ on Plus and Premium), versus 2.6% + 15¢ when a card is tapped or dipped in person. Whenbird's $19 is the whole subscription; per booking you pay only Stripe's standard processing — check Stripe's published rate for your country and run the numbers on your own session price.
Features
Square's appointment feature set is deep: an online booking website with Book Now buttons for Instagram, Facebook, and Google; automatic text and email reminders clients can reply to — Square Assistant confirms, cancels, or reschedules by SMS; prepayments, automatic contracts, and deposits at booking; cancellation policies and no-show fees, multi-staff booking, and waitlists from Plus up; and, further up, class booking with packages, multi-location management, and resource management.
Whenbird's core: one shareable booking page, services with duration, buffer time, price, minimum notice and booking window, weekly hours with date overrides, database-level double-booking prevention, rescheduling from your dashboard, one-click Stripe refunds, and no-show and revenue tracking in the dashboard — with the booking page in five languages: English, German, French, Italian, Spanish.
What Square has that Whenbird doesn't: SMS reminders, in-person card payments and POS hardware, no-show fees charged to a card on file, waitlists, class booking, multi-location tools, inventory, staff timecards and shift scheduling, and invoicing. If you take payment across a counter or run a team, that ecosystem is decisive — a $19 booking page is not a point-of-sale system, and this page won't pretend otherwise.
Payments and processing
Square's model is per-transaction processing on top of the subscription: 2.6% + 15¢ in person on Free (2.5% on Plus, 2.4% on Premium); 3.3% + 30¢ online on Free and 2.9% + 30¢ on Plus and Premium.
Whenbird doesn't process payments itself. You connect your own Stripe account, clients pay at booking through Stripe Checkout, the money settles directly to you as the merchant of record, and Whenbird takes 0% commission — whatever Stripe charges in your country is the only processing fee. The subscription stays $19/month no matter how much you book.
Where Square wins
Square is the pick if you meet clients in person: card readers, registers, and flat in-person rates make it a real point-of-sale system, and the same account adds inventory, staff timecards and scheduling, invoicing, loyalty, marketing, and Square Banking. For a salon, studio, or shop with a front desk — or any business spanning several locations — that breadth is worth paying for.
Whenbird is booking-first instead of POS-first: one professional, one link, card payments that settle in your own Stripe account, a booking page in five languages, and a flat $19/month that doesn't scale with locations or staff calendars. Different tools built on different centers of gravity.
Verdict
Choose Square Appointments if your business runs in person, across staff or locations, or on Square's POS and inventory ecosystem — the free tier is genuinely usable, and its paid tiers are priced per location. Choose Whenbird if you're a solo coach, consultant, or tutor who books online, wants one predictable $19/month with 0% commission and your own Stripe account, in five languages. Both have free ways to start; the honest test is a paid test booking on your own card.
