Calendly Alternative for Coaches and Consultants

If you sell your time — coaching sessions, consulting calls, tutoring — you need two things from a booking tool: a link clients can use without emailing back and forth, and a way to get paid before the session starts. Calendly is the default choice for scheduling, and it earns that reputation. But it was built around meeting-heavy sales and recruiting teams, and its pricing reflects that: seats, add-ons, and a payment feature that starts on a paid plan.

Whenbird was built for one person who charges for their time. One flat price, payments at booking, and the money lands in your own Stripe account. This page compares the two honestly — including where Calendly is the better choice, because it often is.

Pricing: flat vs. per-seat

Calendly's free plan covers one event type and one calendar connection — its plan page lists exactly “One event type” and “One calendar connection” — fine for testing, tight for a working coach with a 30-minute intro, a 60-minute session, and a paid workshop. Unlimited event types start on Standard, listed at $10/seat/mo billed yearly, and every plan above Free is priced per seat.

Whenbird Free includes a shareable booking page with up to 2 active services and automatic email reminders, for as long as you like. Pro is $19/month flat — not per seat, not per booking, not a percentage.

For a solo coach charging for sessions, the comparison is simple: Calendly Standard at $10/seat/mo (yearly billing) with payments features, or Whenbird Pro at $19/mo flat with payments included. Run the numbers on your own session price — at $100/session, either tool costs less than a quarter of one booking.

Getting paid: whose Stripe account, whose cut

Calendly collects payments at booking via Stripe and PayPal — but not on the free plan, where its compare table shows payments excluded.

Whenbird gates payments behind Pro too — that's only fair to say. The difference is the plumbing: with Whenbird you connect your own Stripe account, clients pay at booking through Stripe Checkout, and the money settles directly to you as the merchant of record. Whenbird takes 0% commission — no cut of your booking revenue beyond Stripe's standard processing fee, and Whenbird never holds your money.

Both tools ride on Stripe, so neither invents money. The question to ask any booking tool is: does the payment land in my account, and does anyone take a percentage? Get both answers in writing.

Where Calendly wins

Calendly syncs with your existing calendars (Free: 1 connection; paid: 6) so it can hide times you're already busy; Whenbird manages availability inside the product and currently has no two-way Google or Outlook sync. Calendly automates reminders and follow-ups on paid plans; Whenbird sends email confirmations and reminders only. And Calendly plugs into Zoom, HubSpot, Salesforce, and a long tail of tools Whenbird doesn't touch.

If you live in your calendar, run team round-robin scheduling, or need CRM routing, Calendly is the right tool — and this page won't pretend otherwise.

Languages

Coaches and consultants work across borders, and booking pages are client-facing surfaces. Whenbird ships in five languages — English, German, French, Italian, Spanish — with locale-prefixed URLs and hreflang alternates, so your booking page reads natively for clients in Milan or Lyon.

Calendly's booking pages support multiple languages through its platform — check the current per-plan language options for your market. Whenbird's booking page is available in German, French, Italian and Spanish as well as English, and the confirmation and reminder emails go out in the language your client booked in.
